Terms of Service

Welcome to DormHealth.org (“DormHealth.org LLC“). These Terms of Service (“Terms“) govern your access and use of our services, including any subscriptions, website interactions, and any other related services provided by DormHealth.org (“we,” “us,” or “our“). By accessing or using any part of DormHealth.org services, you agree to these Terms in full. If you do not agree with any part of these Terms, you may not access or use DormHealth.org services.

1. Definitions

  • “Services”: The linen exchange services provided by DormHealth.org.
  • “User” or “You”: Any individual who subscribes to or uses DormHealth.org services.
  • “Term” or “Plan”: The duration of the paid subscription period.
  • “Exchange Period”: The scheduled day(s) and frame of time during which Users exchange used linens for fresh ones.
  • “Damage”: Any condition that renders the linens or other provided items unsuitable for future use, excluding normal wear and tear.
  • “Service Area”: The geographic area where DormHealth.org operates and provides Services, currently limited to students enrolled at the University of California, Los Angeles (UCLA).

2. Eligibility

To subscribe to DormHealth.org’s services, you must:

  • Be at least 18 years of age or have parental or guardian consent provided in writing.
  • Be a student enrolled at UCLA and live in a residence or house within our service area.
  • Provide accurate and complete information during the sign-up process.

3. DormHealth.org Service Plans

DormHealth.org offers flexible subscription options tailored to simplify dorm living and promote healthier habits through seamless bed and bath linen exchanges. Choose from the Annual Plan, Quarterly Plan, or Summer Service to fit your needs. 

3.1 Annual Plan

The Annual Plan is designed for students attending UCLA during the academic year (Fall, Winter, Spring), and does not include Summer Service. It is a subscription service that automatically renews each academic year.

Service Coverage: The plan includes weekly linen exchanges from Week 1 to Week 10 of each quarter (Fall, Winter, Spring). Subscribers receive one set of linens per exchange (Twin XL fitted sheet, flat sheet, pillowcase, towel), with a total of 10 exchanges per quarter. Exchanges are limited to one per week, and unused exchanges do not roll over between weeks, quarters, or years.

Exchange Schedule: Exchanges occur every Wednesday and Saturday during communicated time slots from Week 1 to Week 10. 

Pick-Up Periods:

    • Fall: You may pick up linens during communicated time slots any day, between the first freshman move-in day and the Sunday before academic instruction begins. 
    • Winter: Students who did not retain linens over Winter Break may pick up linens during communicated time slots, one week before Winter Quarter instruction begins.
    • Spring: Students who did not retain linens over Spring Break may pick up linens during communicated time slots, one week before Spring Quarter instruction begins.

Break Policy: Students are recommended to keep their linens over the duration of Winter & Spring Break, and can exchange them once again on the first exchange day of Winter & Spring Quarter, respectively. However, if a student wishes to return the linens prior to break, they are allowed to turn in their linens within one of the communicated time slots during finals week and follow the pick-up guidelines for the next quarter

End-of-Annual-Term Returns: Regardless of intent to renew or not, all students must return their linens during communicated time slots by the Saturday, immediately following the last Friday of final exams during Spring Quarter. The annual plan does not apply to summer service (please see summer service guidelines for more information).

Renewals: The plan will automatically renew for the next academic year unless canceled before the billing date (first day of freshman move-in). Any renewal charges will be billed to the payment method on file.

Notifications pertaining to renewal are sent 30 days before the billing date and include:

    • The renewal date.
    • The billing amount for the new annual term.
    • Instructions for cancellation prior to renewal.

Cancellations:

    • Cancellations can be made via your DormHealth.org account or by contacting customer support.
    • Immediately effective by the end of the last Saturday of Finals Week of the Spring quarter of the enrolled academic year. 
    • No refunds for unused portions of your subscription.

3.2 Quarterly Plan

The Quarterly Plan is designed for students attending UCLA during the academic year (Fall, Winter, Spring). It is a subscription service that automatically renews each academic quarter.

Service Coverage: The plan includes weekly linen exchanges from Week 1 to Week 10 for one quarter (Fall, Winter, or Spring) at a time. Subscribers receive one set of linens per exchange (Twin XL fitted sheet, flat sheet, pillowcase, towel), with a total of 10 exchanges per quarter. Exchanges are limited to one per week, and unused exchanges do not roll over between weeks or quarters.

Exchange Schedule: Exchanges occur every Wednesday and Saturday during communicated time slots from Week 1 to Week 10. 

Pick-Up Periods:

    • Fall: You may pick up linens during communicated time slots any day, between the first freshman move-in day and the Sunday before academic instruction begins.
    • Winter: New enrollees and students who did not retain linens over Winter Break may pick up linens during communicated time slots, one week before Winter Quarter instruction begins.
    • Spring: New enrollees and students who did not retain linens over Spring Break may pick up linens during communicated time slots, one week before Spring Quarter instruction begins.

Those who enroll after the start of the current quarter may pick up linens on the next scheduled exchange day.

Break Policy: Renewing students retain linens over breaks.

    • Winter Break: Students who were enrolled in Fall Quarter and renewed their subscription for Winter Quarter are recommended to keep their linens over the duration of Winter Break, and will be able to begin exchanging them once again on the first exchange day of Winter Quarter.
    • Spring Break: Students who were enrolled in Winter Quarter and renewed their subscription for Spring Quarter are recommended to keep their linens over the duration of Spring Break, and will be able to begin exchanging them once again on the first exchange day of Spring Quarter.

End-of-Quarter Returns:

    • Renewing students should adhere to the break policy, but are allowed to turn in their linens within one of the communicated time slots during finals week and follow the pick-up guidelines for the next quarter.
    • Non-renewing students must return linens within one of the communicated time slots during finals week, with a strict deadline by the Saturday, immediately following the last Friday of final exams of the respective quarter.
    • Important: In the Spring, all students must return their linens during communicated time slots by the Saturday, immediately following the last Friday of final exams. The quarterly subscription does not apply to summer service (please see summer service guidelines for more information).

Renewals: Renewal charges will be billed to the payment method on file unless the plan is canceled.

    • Fall to Winter Quarter: Automatically renews for Winter Quarter unless canceled before the billing date (last exchange day of Fall Quarter in Week 10). Notifications pertaining to renewal are sent 14 days before the billing date.
    • Winter to Spring Quarter: Automatically renews for Spring Quarter unless canceled before the billing date (last exchange day of Winter Quarter in Week 10). Notifications pertaining to renewal are sent 14 days before the billing date.
    • Spring to Fall Quarter: Automatically renews for next Fall Quarter unless canceled before the billing date (first day of freshman move-in). Notifications pertaining to renewal are sent 14 days before the billing date.

All renewal notifications include:

    • The renewal date.
    • The billing amount for the new annual term.
    • Instructions for cancellation prior to renewal.

Cancellations:

    • Cancellations can be made via your DormHealth.org account or by contacting customer support.
    • Immediately effective by the end of the last Saturday of Finals Week, of the currently subscribed quarter. 
    • No refunds for unused portions of your subscription.

3.3 Summer Service

The Summer Service is designed for students attending UCLA’s summer sessions. Unlike the Annual and Quarterly Plans, this is not a subscription plan and does not automatically renew.

Service Coverage: A Summer Service purchase covers a single summer session (A, B, or C), regardless of length (3 weeks – 10 weeks), and enables the student to exchange their linens once a week. Each exchange is for one set of linens (Twin XL fitted sheet, flat sheet, pillowcase, and towel).

If you will be enrolled in multiple summer sessions and wish to maintain linen service throughout, then you will need to purchase the respective summer service plans in accordance with your Summer Session schedule.

Exchange Schedule: Exchanges occur every Wednesday and Saturday during communicated time slots throughout your summer session. 

Pick-Up Period: Linens are available for pick-up on your respective Summer Sessions UCLA housing summer move-in date, during communicated time slots. Students who enroll after the start of their Summer Session may pick up linens on the next scheduled exchange day.

End-of-Session Returns: All linens must be returned by the last day of your Summer Session during communicated time slots.

Cancellations: Cancellations of service can be made via your DormHealth.org account or by contacting customer support; however, no refunds will be issued for unused portions of your subscription.

4. Exchanges and Service Guidelines

Exchange Process: Each exchange will occur at a designated DormHealth.org location. Service recipients will receive a weekly notification, reminding them to exchange their linens.

On an exchange day:

  • Drop-Off: Bring your used linens to the designated location. DormHealth.org staff will verify your identity using your BruinCard. They will then check that all items in your set are returned and fall within our Damage Policy.
  • Pick-Up: After verification, you will receive a fresh set of linens immediately.

Partial Swap Policy (Towel-Only Exchanges): DormHealth.org allows students, if they so choose, to exchange only their towel during any given exchange week.

  • Bed linens are not eligible for partial exchanges and must be swapped together as part of a full set exchange.
  • A towel exchange will count as their exchange for that week, meaning they are not able to exchange their linens or towel later that week.

Dirty or Unsanitary Linens Guarantee: DormHealth.org is committed to providing high-quality, clean linens. All linens undergo sterilization and an inspection before being packaged to ensure they meet our cleanliness and quality standards.

In the rare instance that a student receives dirty or unsanitary linens, we will replace the affected item(s) within 24 hours at no cost.

  • Students must notify DormHealth.org within 24 hours of receiving the affected item.
  • A DormHealth.org representative will pick up the affected item and deliver a replacement directly to the customer’s residence.
  • This guarantee applies only to visibly soiled or unsanitary linens at the time of exchange and does not cover standard wear and tear or damage occurring after the exchange.

Extreme or intentional damage as defined in the Damage Clause (e.g., rips, burns, ink stains, or misuse beyond normal wear and tear) will not be covered under this guarantee and may result in replacement fees per DormHealth.org’s Damage Policy.

Missed Exchanges: DormHealth.org provides a wide exchange window and communicates exchange days weekly. If you miss your exchange period, DormHealth.org is not obligated to facilitate a makeup exchange. It is your responsibility to attend during the designated window to avoid service disruption.

Handling Missing or Damaged Items:

  • Documentation: If any items are missing or noticeably damaged during the exchange, DormHealth.org staff will document the issue and have you sign a waiver acknowledging the loss or damage of the item(s).
  • Replacement Fees: Missing or damaged items will incur a replacement fee unless covered by our optional insurance. 

5. Insurance

DormHealth.org offers optional insurance to cover lost or damaged linens. You may purchase insurance only during checkout of the selected service package

Quarterly Plan & Summer Service Insurance: Covers the replacement of one full set (fitted sheet, flat sheet, pillowcase, and towel) for the purchased quarter/summer session service. If additional items are lost beyond what is covered, you will be charged $30 per item. 

  • If you choose not to purchase insurance, any lost or damaged items will incur a replacement fee of $30 per item that will be billed to your account with payment required by the last exchange day of the current quarter. You have until this deadline to return any missing item(s) and avoid charges. However, after this period, no refunds will be issued for returned items.

Annual Plan Insurance: Covers the replacement of one full set (fitted sheet, flat sheet, pillowcase, and towel) for each of the three quarters under the annual plan. If additional items are lost beyond what is covered per quarter, you will be charged $30 per item. 

  • If you choose not to purchase insurance, any lost or damaged items will incur a replacement fee of $30 per item that will be billed to your account with payment required by the last exchange day of the applicable quarter. You have until this deadline to return any missing item(s) and avoid charges. However, after this period, no refunds will be issued for returned items.

6. Definition of Damage

For the purposes of these Terms, “Damage” refers to any condition that renders the linens or other provided items unsuitable for future use, excluding normal wear and tear. Damage includes, but is not limited to:

  • Permanent Stains: Marks or discolorations that cannot be removed through standard laundering. Examples include ink, dye, bleach, oil, or food stains.
  • Tears and Rips: Any cuts, holes, or fraying that compromise the integrity of the fabric.
  • Burns and Scorch Marks: Damage caused by exposure to heat sources such as irons, hair appliances, cigarettes, or open flames.
  • Permanent Alterations: Any modifications made to the item, including cutting, sewing, dyeing, or applying adhesive materials.
  • Offensive Odors: Persistent smells resulting from exposure to smoke, chemicals, or other strong substances that do not dissipate after laundering.
  • Mold and Mildew: Growth resulting from storing damp or wet linens for extended periods.
  • Contamination: Exposure to hazardous materials or substances that render the item unsafe for handling.

Normal Wear and Tear: Normal wear and tear is the expected decline in the condition of the linens due to regular use and laundering over time. This includes:

  • Minor Fading: Slight loss of color from washing.
  • Minor Pilling: Small fabric balls forming on the surface due to friction.
  • Light Fraying: Minimal fraying at the edges or seams that does not affect the item’s usability or overall quality.

7. Responsibilities and Conduct

You agree to:

Use DormHealth.org services responsibly and only for their intended purpose.

  • Prohibited Activities: Misusing or exploiting this service in ways not intended, such as hoarding linens, using them outside of personal residential needs, misusing the website, harassing staff or other users, or attempting to interfere with service operations, is strictly prohibited.

Maintain the condition of your linens and follow any care instructions provided.

  • Care Instructions: While DormHealth.org handles the laundering process, it is your responsibility to treat the linens with care during use. This includes avoiding actions that could lead to Damage as defined in Section 6.

Notify DormHealth.org immediately if you lose any linens or if damage occurs.

  • Prompt Notification: Allows DormHealth.org to address the situation quickly and helps avoid additional charges. Failure to report lost items or damage could result in unnecessary replacement fees at the end of the payment period.

Respect DormHealth.org staff and other customers during exchanges.

  • Conduct: Courteous and respectful behavior helps maintain a positive experience for everyone. Disruptive behavior or disrespect toward staff or other customers will not be tolerated and may result in suspension or termination of your service.

Prohibited Activities Include:

Using DormHealth.org services for any unlawful activity.

  • Unlawful Use: Engaging in activities such as theft, fraud, or any other illegal actions while utilizing DormHealth.org services is strictly prohibited and will be reported to the appropriate authorities.

Providing false or misleading information during the sign-up or exchange process.

  • Honesty: Providing incorrect identification, claiming false losses, or attempting to bypass DormHealth.org policies can lead to immediate suspension of service and possible legal action.

Failing to return linens during service exchanges.

  • Obligation: If you do not return all items during an exchange, you will be charged a replacement fee unless covered by optional insurance. Replacement costs must be paid by the respective quarter’s last exchange day to avoid further penalties.

Unlawfully retaining or distributing DormHealth.org linens.

  • Property Rights: All linens provided through DormHealth.org remain the property of DormHealth.org. Retaining linens beyond your service Term or attempting to sell, gift, or distribute them is strictly prohibited. Such actions constitute theft and may result in legal action, as well as permanent suspension from DormHealth.org services.

8. Pricing and Payment

Pricing: All service pricing is listed in U.S. dollars. Current pricing is available on our website at www.dormhealth.org/pricing.

  • Annual Plan: Discounted subscription rate covering the Fall, Winter, and Spring of the academic year.
  • Quarterly Plan: Subscription rate covering a single quarter, whether it be Fall, Winter, or Spring.
    • Those who enroll after the start of a quarter, can pay a prorated rate for the remainder of their plan, but will be charged the full subscription rate of the next quarter should they choose to renew.
  • Summer Plan: One-time fixed rate regardless of chosen session; prorating does not apply to the Summer Service.
  • Quarterly Plan/Summer Service Insurance: One-time payment that must be at checkout of selected service Term.
  • Annual Plan Insurance: One-time payment that must occur during purchase of annual plan.

Payment Methods: We accept major credit cards and debit cards. Payment is due upfront at the beginning of each billing Term (quarterly, annually, or summer).

Failed Payments: In the event of a failed payment, your service will be paused until payment is resolved. DormHealth.org reserves the right to terminate your subscription if payment issues persist.

9. Refunds

DormHealth.org offers no refunds for unused weeks, partial terms, or mid-term cancellations. Once you have signed up for a quarterly or annual plan, you are committed to the Term selected. 

Exceptions:

  • If DormHealth.org discontinues services to all students during your active Term, you will be offered a prorated refund, at DormHealth.org’s discretion.
    • Should DormHealth.org choose to refund a customer, the purchase will be refunded to the customer’s method of original payment within one week (business days) of the customer being notified of their refund.
  • In exceptional circumstances such as withdrawal from school, you may contact DormHealth.org to discuss possible accommodations, though refunds are not guaranteed.

10. Modifications to Service

DormHealth.org reserves the right to modify, suspend, or discontinue any Services with prior notice to customers. Any significant changes will be communicated to customers in advance. Pricing and subscription options are subject to change, but we will provide notice to customers before any adjustments.

11. Termination

By DormHealth.org: We may terminate or suspend your access to the Services immediately, without prior notice or liability, for any reason whatsoever, including but not limited to a breach of the Terms. Upon termination, your right to use the Services will immediately cease.

By User: You may terminate your subscription at any time by selecting the “Do Not Renew” option in your account settings. Once selected, your subscription will not renew at the end of your current subscription term. You will retain access to your subscribed plan until the end of the current subscription period. Please note, no refunds will be provided for any unused portion of your subscription term. For assistance, you can still contact DormHealth.org via email or our contact form.

All provisions of the Terms which by their nature should survive termination shall survive, including, without limitation, ownership provisions, warranty disclaimers, indemnity, and limitations of liability.

12. Limitation of Liability

To the maximum extent permitted by applicable law, in no event shall DormHealth.org, its affiliates, directors, employees, or agents be liable for any indirect, incidental, special, consequential, or punitive damages, including without limitation, loss of profits, data, use, goodwill, or other intangible losses, resulting from:

  • Your access to or use of or inability to access or use the Services;
  • Any conduct or content of any third party on the Service;
  • Any content obtained from the Service;
  • Unauthorized access, use, or alteration of your transmissions or content;
  • Delays, losses, or damages caused by third parties or factors beyond our control, including but not limited to laundry services, delivery disruptions, or actions of service partners;
  • Any health-related issues arising from the use or improper use of the linens and towels provided, such as allergic reactions, skin irritations, or medical conditions.

DormHealth.org’s total liability to you for all claims under these Terms, including any implied warranties, is limited to the amount you paid us for the Services.

13. Disclaimer of Warranties

The Services are provided on an “AS IS” and “AS AVAILABLE” basis. DormHealth.org makes no warranties, either express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, or non-infringement. DormHealth.org does not warrant that the Services will meet your specific requirements or expectations regarding health outcomes or improvements. Any advice or information obtained from DormHealth.org does not create any warranty not expressly stated in these Terms.

14. Indemnification

You agree to indemnify, defend, and hold harmless DormHealth.org and its affiliates, officers, directors, employees, and agents from and against any and all claims, liabilities, damages, losses, or expenses, including reasonable attorneys’ fees, arising out of or in any way connected with your access to or use of the Services, or your violation of these Terms.

15. Force Majeure

DormHealth.org will not be liable for any failure or delay in performance under these Terms due to circumstances beyond our reasonable control, including but not limited to natural disasters, strikes, fires, pandemics, governmental restrictions, or failures of public utilities or communications networks.

16. Severability

If any provision of these Terms is found to be invalid or unenforceable by a court of competent jurisdiction, such provision shall be modified to reflect the parties’ intention, or eliminated to the minimum extent necessary, so that the remaining provisions of the Terms remain in full force and effect.

17. No Waiver

DormHealth.org’s failure to enforce any right or provision of these Terms will not be considered a waiver of those rights. Any waiver of any provision of these Terms will be effective only if in writing and signed by an authorized representative of DormHealth.org.

18. Entire Agreement

These Terms, along with our Privacy Policy, constitute the entire agreement between you and DormHealth.org regarding the Services and supersede and replace any prior agreements we might have had between us regarding the Services.

19. Assignment

You may not assign or transfer your rights or obligations under these Terms without prior written consent from DormHealth.org. Any attempted assignment without such consent will be null and void. DormHealth.org may assign or transfer these Terms, in whole or in part, without restriction.

20. Third-Party Beneficiaries

These Terms do not and are not intended to confer any rights or remedies upon any person other than you and DormHealth.org.

21. Notices

All notices or other communications required or permitted to be given under these Terms shall be in writing and delivered to DormHealth.org via email at team@dormhealth.org or by mail at the address provided in “Contact Information”. Notices to you may be made via email or through the Services.

22. Governing Law and Jurisdiction

These Terms are governed by and construed in accordance with the laws of the State of California, without regard to its conflict of law provisions.

Dispute Resolution: In the event of any dispute, claim, or controversy arising out of or relating to these Terms, the Services provided by DormHealth.org, or the relationship between the parties, the parties agree to first attempt to resolve the dispute through mediation in Orange County, California. Each party shall bear its own costs and expenses, including legal fees, and shall share the mediator’s fees equally. Mediation shall be conducted confidentially, and any settlement reached shall be documented in writing and signed by both parties. If the dispute is not resolved through mediation within 30 days of initiation, either party may proceed to binding arbitration under the rules of the American Arbitration Association in Orange County, California. The arbitrator’s decision shall be final and binding, and judgment on the award rendered by the arbitrator may be entered in any court having jurisdiction thereof.

Waiver of Class Action: You agree to resolve disputes with DormHealth.org on an individual basis and waive any right to bring a class, collective, or representative action against DormHealth.org, either in mediation, arbitration, or otherwise.

23. Electronic Communications Consent

By using our Services, you consent to receive electronic communications from DormHealth.org. These communications may include notices about your account and information concerning or related to the Services. You agree that any notices, agreements, disclosures, or other communications that we send to you electronically will satisfy any legal communication requirements, including that such communications be in writing.

24. Privacy Policy

Your privacy is important to us. DormHealth.org’s use of personal data is governed by our Privacy Policy, which outlines how we collect, store, and use information provided by Users. By using our Services, you consent to the collection and use of information in accordance with the Privacy Policy. The Privacy Policy is available at www.dormhealth.org/privacy-policy.

25. Intellectual Property

All content on DormHealth.org, including text, graphics, logos, images, and software, is the intellectual property of DormHealth.org and is protected by copyright and trademark laws. You may not reproduce, distribute, or use our intellectual property without our express written consent. All content on this site is the property of DormHealth.org, LLC and may not be used without permission.

26. Software and Online Platform Use

If you access any software or online platforms provided by DormHealth.org, you agree to use them only as permitted under these Terms and any additional terms provided. Unauthorized use of such software or platforms is prohibited.

27. Health and Hygiene Disclaimer

  • General Use: Our Services and information are intended for general informational purposes and do not replace personal hygiene practices or professional medical advice.
  • No Health Guarantees: DormHealth.org does not guarantee any specific health outcomes resulting from the use of our Services. Individual experiences may vary.
  • Consult Healthcare Professionals: If you have any concerns related to health or hygiene, please consult a qualified healthcare professional.
  • No Liability for Health Issues: DormHealth.org is not liable for any issues arising from the use or improper use of our linens or towels, including but not limited to allergic reactions, skin irritations, infections, or other medical concerns.

28. Acceptance of Terms

By clicking “I Agree” during the sign-up process or by using the Services, you acknowledge that you have read, understood, and agree to be bound by these Terms.
