Terms of Service

Welcome to DormHealth.org (“DormHealth.org LLC“). These Terms of Service (“Terms“) govern your access and use of our services, including any payments, website interactions, and any other related services provided by DormHealth.org (“we,” “us,” or “our“). By accessing or using any part of DormHealth.org services, you agree to these Terms in full. If you do not agree with any part of these Terms, you may not access or use DormHealth.org services.

1. Definitions

  • “Services”: The linen exchange services provided by DormHealth.org.
  • “Products”: Any products sold at DormHealth.org’s discretion.
  • “User” or “You”: Any individual who enrolls in DormHealth.org services or purchases a product.
  • “Service Term”: The duration of the relevant service access period to the User.
  • “Damage”: Any condition that renders the linens or other provided items unsuitable for future use, excluding normal wear and tear.
  • “Service Area”: The geographic area, location, or institution where DormHealth.org operates and provides Services or products.

2. Eligibility

To enroll in DormHealth.org’s services, you must:

  • Be at least 18 years of age or have a parent or guardian enroll the underaged student.
  • Be a student in an approved service area.
  • Provide accurate and complete information during the enrollment process.

3. Bed & Bath Linen Plan

The DormHealth.org Bed & Bath Linen Plan (“the Plan”) is a university-endorsed residential service that provides enrolled students with structured, on-campus access to clean bed and bath linens for the duration of the specific university’s academic year. 

All bed and bath linens provided through the Plan remain the exclusive property of DormHealth.org. These linens are not available for retail purchase by individual consumers. Students may not purchase, retain, or otherwise keep these linens at the conclusion of the Service Term. Enrollment in the Service grants students temporary use of these items for the duration of the defined Service Term only. DormHealth.org does not launder personal linens.

3.1 Service Overview

Upon successful enrollment, each student will receive access to:

  • One (1) twin XL sheet set (fitted sheet, flat sheet, pillowcase)
  • One (1) bath towel
  • The ability to exchange linens at designated campus exchange locations throughout the academic year

Linen exchanges are available throughout the academic year at participating locations. Students may exchange towels, bed linens, or both as needed, subject to defined exchange limits. All exchange activity is tracked by Student ID and governed by fair usage policies.

3.2 Exchange Access and Locations

Linen exchanges are facilitated through designated exchange locations as communicated by DormHealth.org. Exchange access, location availability, and service hours may vary by university and will be provided accordingly.

3.3 Program Timeline

  • Service Start Date: Linen pickup begins prior to the start of a university’s academic year, with specific dates and instructions communicated on a per-university basis.
  • Ongoing Access: Students may initiate exchanges throughout the academic year unless otherwise superseded by DormHealth.org communications.
  • Service End Date: All linens must be returned by the communicated deadline at the end of a university’s academic year. Students will receive multiple reminders prior to this deadline.

3.4 Enrollment Capacity

Enrollment is limited and determined on a per-campus basis. DormHealth.org may reopen enrollment at its discretion if operational capacity allows. All enrollment parameters will be communicated either directly by DormHealth.org or through university-affiliated channels.

4. Exchanges and Service Guidelines

The Plan is designed to offer flexibility and convenience while maintaining inventory accountability and service integrity. This section outlines the general expectations for how linen exchanges are facilitated and managed.

4.1 Exchange Eligibility and Identification

To complete an exchange, students must present a valid student ID or provide identifying information as required by the system in use at their university. Exchange staff may decline service if proper student ID verification is not provided.

4.2 Exchange Process

Enrolled students may pick up, exchange, or return the following items at designated exchange locations during operational hours as communicated by DormHealth.org:

  • A bath towel
  • A sheet set (includes 1 fitted sheet, 1 flat sheet, and 1 pillowcase)
  • Or both in a single transaction

All exchange activity is logged and associated with the student’s unique ID. Access to exchanges is subject to fair usage limits and service availability.

4.3 Exchange Frequency and Fair Use Policy

DormHealth.org permits frequent exchanges to support student hygiene and wellness. However, to maintain equitable access and operational balance, DormHealth.org may impose exchange frequency limits and reserves the right to flag or restrict accounts showing excessive usage.

Exchange limitations may include, but are not limited to:

  • Daily exchange limits per item or per transaction
  • Inventory-based caps at specific locations
  • Temporary suspension of service for users with excessive unreturned items

Exchange rules will be communicated clearly at the start of each Service Term and may be updated during the academic year as needed.

4.4 Return Condition Requirements

Returned linens should meet basic standards of cleanliness and condition. If items are wet, moldy, or contaminated, exchange staff may request that the student place the items in a separate bag provided at the exchange location.

Students are responsible for safeguarding linens in their possession. If items are lost, damaged, or repeatedly returned in unacceptable condition, DormHealth.org reserves the right to assess replacement fees as outlined in this section.

4.5 Missed Exchanges

Exchange schedules and operating windows are communicated in advance by DormHealth.org. DormHealth.org does not guarantee makeup opportunities for students who miss their assigned or posted exchange windows. It is the student’s responsibility to complete exchanges within the posted schedule.

4.6 Unsanitary or Damaged Items Received

DormHealth.org takes hygiene seriously. All linens are laundered by certified commercial providers and undergo quality control before distribution. In the rare event that a student receives visibly soiled, damaged, or unsanitary items, the student should report the issue within 12 hours of pickup and should promptly replace the affected item(s) at their nearest exchange location.

4.7 Academic Break Periods

DormHealth.org may modify or reduce service availability during campus-designated academic break periods, including but not limited to Fall Break, Winter Break, Spring Break, and campus holidays.

During these periods, exchanges may be offered:

  • At limited locations only
  • On reduced schedules
  • Or suspended entirely based on campus access restrictions or operational needs

DormHealth.org will communicate all changes to service availability in advance of the break through email and/or other official channels. Students are advised to plan accordingly and complete any needed exchanges before breaks begin, and are encouraged to retain their linens during these periods, as makeup service may not be available.

In the rare event that no exchange service is available during an academic break, students are encouraged to launder their linens independently during that time. DormHealth.org is not responsible for interim linen care during periods in which service is unavailable due to external university limitations.  Such limitations shall not be considered a breach or failure of DormHealth.org’s commitment to provide access throughout the academic year, as they arise from factors beyond DormHealth.org’s control.

4.8 Year-End Return Requirement

At the conclusion of the academic year, all linens issued through the Service must be returned in full and in acceptable condition, in accordance with DormHealth.org’s communicated return procedures, damage policy, and deadlines.

Students will receive multiple reminders regarding return timelines, locations, and item checklists. Failure to return items by the deadline will result in loss documentation and fee assessment.

Unreturned or Missing Items: Any items not returned by the stated deadline will be considered lost. The student will be billed a replacement fee per item, with the exact amount communicated in advance of the academic year. These fees may be billed directly by DormHealth.org or posted to the student’s university account, depending on the Service Area.

Item Returns During the Academic Year: Students are not required to return every item immediately after each use. Some students may temporarily retain or misplace linen items during the academic year. As long as a student’s unreturned item count remains below DormHealth.org’s defined excessive unreturned item threshold, no charges will be assessed during the academic year.

However, any items still unreturned after the conclusion of the Service Term will be deemed lost and subject to replacement fees, regardless of whether the student was previously within acceptable usage limits.

It is the student’s responsibility to ensure that all issued items are returned and properly logged by exchange staff before the final service date or before departing campus for the academic year. No exceptions will be made for items returned after the Service Term has concluded.

4.9 Personal Item Disclaimer

DormHealth.org and university housing officials are not responsible for any personal items that may be accidentally handed in during an exchange. This includes, but is not limited to, clothing, non-DormHealth.org linens, toiletries, electronics, or other personal belongings that may be mixed in with returned linens.

Items returned in error will not be stored or returned and may be discarded as part of standard linen processing and sanitation protocols. Students are strongly encouraged to carefully inspect items before submitting them for exchange.

5. Linen Loss Protection

DormHealth.org offers Linen Loss Protection as an optional add-on for students enrolled in the Bed & Bath Linen Plan. This policy provides limited coverage for accidental linen loss during the academic year.

5.1 Coverage

Linen Loss Protection covers up to two (2) lost items per student during the academic year. Covered items may include:

  • Bath towel
  • Fitted sheet
  • Flat sheet
  • Pillowcase

Coverage is valid only for students who have enrolled in the Linen Loss Protection policy at the time of initial service purchase.

5.2 Cost and Enrollment

The cost of Linen Loss Protection will be communicated by DormHealth.org or its university housing partner and must be paid in full at the time of enrollment in the Bed & Bath Linen Plan. This fee is non-refundable.

Enrollment in Linen Loss Protection is optional and must be completed during the initial registration process. Coverage cannot be added retroactively or after service activation.

5.3 Additional Losses

Students who lose more than two (2) items during the academic year will be charged a replacement fee for each additional unreturned item, based on the communicated lost item fee for the student’s respective Service Area.

Replacement charges may be issued directly by DormHealth.org or posted to the student’s university billing account, depending on campus integration.

5.4 Exclusions

Linen Loss Protection does not apply to:

  • Items that are intentionally damaged, altered, or discarded
  • Items not originally issued by DormHealth.org under the Bed & Bath Linen Plan

6. Definition of Damage

For the purposes of these Terms, “Damage” refers to any physical condition of the linens provided to you that renders them unsuitable for future use, excluding expected deterioration due to regular laundering and daily use.

Examples of Damage include, but are not limited to:

  • Permanent Stains: Ink, bleach, makeup, oil, or other substances that do not wash out.
  • Rips or Tears: Structural tears or holes that compromise usability.
  • Burns or Scorching: Damage from irons, heating devices, or open flames.
  • Alterations: Cutting, sewing, dyeing, or other unauthorized modifications.
  • Odors: Lingering smells caused by smoke, chemical exposure, or improper care.
  • Mildew or Mold: Resulting from linens being returned damp or improperly stored.
  • Contamination: Contact with substances that create biohazard or safety concerns.

Normal Wear and Tear include:

  • Minor fading, pilling, or light fraying that does not affect usability or hygiene.

Determinations regarding Damage are made at DormHealth.org’s sole discretion and may result in replacement fees as outlined elsewhere in these Terms.

7. User Responsibilities and Code of Conduct

As a User of DormHealth.org Services, you agree to:

  • Use the Services solely for personal, residential purposes.
  • Handle all provided linens with care and return them in a timely manner.
  • Respect DormHealth.org staff, university housing staff, and fellow students at all times.
  • Report any lost or damaged items promptly.
  • Refrain from any behavior that disrupts service operations or compromises inventory integrity.

Prohibited Conduct includes, but is not limited to:

  • Providing false, misleading, or incomplete information during signup or exchanges.
  • Retaining, selling, stealing, or gifting DormHealth.org linens to others.
  • Submitting fraudulent damage claims.
  • Attempting to exceed exchange limits via unauthorized means.
  • Using the Services in connection with unlawful conduct or behavior deemed abusive by DormHealth.org.

Violations of these responsibilities may result in suspension or termination of Services without refund, and in severe cases, may be reported to university authorities or law enforcement.

8. Pricing and Payment

All service or product fees are charged in United States Dollars (USD) and reflect pricing for the User’s applicable Service Area at the time of enrollment. Pricing may vary by university or Service Area and may be published on the official DormHealth.org website or designated enrollment platform.

Accepted forms of payment include major credit and debit cards. Payment must be completed before Services begin. If your payment fails, your access to Services will be paused until the issue is resolved. DormHealth.org reserves the right to cancel your enrollment if payment remains outstanding.

9. Refunds

DormHealth.org operates on a fixed-term, pre-paid model. Therefore, we do not provide refunds for:

  • Missed exchange opportunities
  • Mid-term service cancellations
  • Changes in your housing status after the Service Term has begun

Exceptions may be made at DormHealth.org’s sole discretion in the event of:

  • A campus-wide cancellation of Services
  • User’s administrative withdrawal from their university
  • Severe documented hardship

Refund requests must be submitted in writing to team@dormhealth.org with relevant documentation. Refunds, if granted, will be returned to the original payment method.

10. Modifications to Products or Services

DormHealth.org reserves the right to modify, suspend, or discontinue Products or Services (in whole or in part) at any time due to logistical, operational, or safety concerns.

Where possible, advance notice will be provided to Users via email or website announcement. If modifications significantly impact access or quality, DormHealth.org may, at its discretion, issue partial refunds.

Changes to pricing, policies, or service structure will apply prospectively and will be communicated to Users before their next enrollment period.

11. Termination

By DormHealth.org: We reserve the right to immediately terminate your access to the Services without notice for violation of these Terms, or any action that jeopardizes the safety or integrity of the program.

By User: You may cancel your enrollment by emailing team@dormhealth.org. Please note that no refunds will be issued.

All provisions of the Terms which by their nature should survive termination shall survive, including, without limitation, ownership provisions, warranty disclaimers, indemnity, and limitations of liability.

12. Limitation of Liability

To the maximum extent permitted by applicable law, in no event shall DormHealth.org, its affiliates, directors, employees, or agents be liable for any indirect, incidental, special, consequential, or punitive damages, including without limitation, loss of profits, data, use, goodwill, or other intangible losses, resulting from:

  • Your access to or use of, or inability to access or use the Services;
  • Any conduct or content of any third party on the Service;
  • Any content obtained from the Service;
  • Unauthorized access, use, or alteration of your transmissions or content;
  • Delays, losses, or damages caused by third parties or factors beyond our control, including but not limited to laundry services, delivery disruptions, or actions of service partners;
  • Health outcomes, allergic reactions, or hygiene concerns.

DormHealth.org’s total liability shall not exceed the amount you paid for the Services during your current service Term.

13. Disclaimer of Warranties

DormHealth.org provides all Services “as is” and “as available,” without warranties of any kind, either express or implied. This includes but is not limited to:

  • Implied warranties of merchantability or fitness for a particular purpose
  • Health, comfort, or hygiene improvements resulting from service use
  • Guarantee of uninterrupted access or error-free operations

We make no representations regarding the availability of Services in the future.

14. Indemnification

You agree to indemnify, defend, and hold harmless DormHealth.org, its employees, agents, and affiliates from any claims, damages, liabilities, costs, or expenses (including legal fees) arising out of your use of the Services, your violation of these Terms, or your misconduct or misuse of any DormHealth.org resources.

15. Force Majeure

DormHealth.org will not be liable for any failure or delay in performance under these Terms due to circumstances beyond our reasonable control, including but not limited to natural disasters, strikes, university restrictions, fires, pandemics, governmental restrictions, or failures of public utilities or communications networks.

16. Severability

If any provision of these Terms is determined to be unlawful, void, or unenforceable for any reason by a court of competent jurisdiction, that provision shall be deemed severable and shall not affect the validity and enforceability of any remaining provisions. The remainder of these Terms shall continue in full force and effect.

17. No Waiver

No waiver by DormHealth.org of any term or condition set forth in these Terms shall be deemed a continuing waiver of such term or condition, or any other term or condition, and any failure by DormHealth.org to assert a right or provision under these Terms shall not constitute a waiver of such right or provision.

18. Entire Agreement

These Terms, together with our Privacy Policy and any other legal notices published by DormHealth.org, constitute the entire agreement between you and DormHealth.org with respect to the Services/Products and supersede all prior and contemporaneous understandings, agreements, representations, and warranties, both written and oral, regarding such Services/Products.

19. Assignment

You may not assign or transfer your rights or obligations under these Terms without prior written consent from DormHealth.org. Any attempted assignment or transfer without such consent shall be null and void. DormHealth.org may freely assign or transfer these Terms without restriction.

20. Third-Party Beneficiaries

These Terms are for the benefit of you and DormHealth.org only. No other person or entity shall have any rights to enforce any of their provisions.

21. Notices

All notices or other communications required or permitted to be given under these Terms shall be in writing and delivered to DormHealth.org via email at team@dormhealth.org, or by mail at DormHealth.org’s physical address. Notices to you may be made via email, the DormHealth.org website, or through the Service itself.

22. Governing Law and Jurisdiction

These Terms are governed by and construed in accordance with the laws of the State of California, without regard to its conflict of law principles.

Dispute Resolution:
In the event of a dispute, claim, or controversy arising out of or relating to these Terms, the Services, or your relationship with DormHealth.org, the parties agree to first attempt to resolve the matter through confidential mediation in Orange County, California, sharing the costs of mediation equally.

If mediation fails to resolve the issue within 30 days, the parties agree to submit to binding arbitration in accordance with the rules of the American Arbitration Association, with the arbitration to be held in Orange County, California. The arbitrator’s decision shall be final and binding.

Waiver of Class Action:
You agree to resolve disputes only on an individual basis and expressly waive the right to pursue any claims as part of a class, collective, or representative action.

23. Electronic Communications Consent

By using our Services, you consent to receive all communications from DormHealth.org electronically, including but not limited to notices, agreements, disclosures, and updates. You agree that such communications satisfy any legal requirement that they be in writing.

24. Privacy Policy

Your use of the Services is subject to our Privacy Policy, which outlines how we collect, use, and protect your personal information. By agreeing to these Terms, you also consent to the practices described in our Privacy Policy, available at: www.dormhealth.org/privacy-policy

25. Intellectual Property

All content provided through the Services, including but not limited to text, graphics, logos, icons, images, software, and platform features, is the exclusive property of DormHealth.org or its licensors and is protected under applicable intellectual property laws.

You may not reproduce, republish, distribute, display, modify, or otherwise use any DormHealth.org intellectual property without express prior written consent.

26. Software and Online Platform Use

If you access any DormHealth.org software, mobile interface, or web-based tool, you agree to use such platforms only as permitted and for their intended purposes.

You may not attempt to reverse engineer, tamper with, disable, or circumvent any feature, control mechanism, or access restriction associated with these platforms.

27. Health and Hygiene Disclaimer

DormHealth.org provides linens and services intended to support overall hygiene and comfort, but we do not guarantee any specific health outcomes.

  • We do not offer medical advice.
  • Use of the Services does not replace routine personal hygiene practices.
  • If you have allergies, skin sensitivities, or other health conditions, please consult a healthcare provider prior to use.
  • DormHealth.org is not liable for health issues that arise due to improper use or reactions to linens.

28. Acceptance of Terms

By checking the “I Agree” box, submitting payment, or using the Services in any way, you confirm that you have read, understood, and agreed to these Terms in full. This acceptance forms a binding contract between you and DormHealth.org.
